SALES + EVENT COORDINATOR

We are currently looking for a positive, results-focused Sales + Event Coordinator with experience in the food, hospitality and events industry. This person plays a key role in the full scope of event management, from fielding new leads to building relationships with new clients to executing the event day of.  We take on a broad range of events from small private affairs to full service weddings and corporate/non profit functions. This candidate should have a natural affinity for a focused yet fast-paced environment, a proven track record for thinking on their feet and the ability to understand and execute a client's needs while leveraging our team and resources at Chive. You should also have a keen eye for design and an understanding of current food and beverage trends.

In this position you will be working closely with other core team members including the two owners of Chive. We are a small team that depends on a culture of collaboration, open mindedness and bringing one’s best self to the group.  Throughout the years we have recognized that team members who are willing to be vulnerable, find opportunities in mis-steps and work well in an intimate group setting are the best fit.

KEY QUALIFICATIONS

Sales Coordinator Responsibilities:

- Participate in an active sales culture including reporting, strategy and marketing

- Field + qualify new event leads  

- Schedule qualified lead consultation calls

- Manage office phones

- Manage office email (meetus@chiveevents.com)

- Manage leads portion of Tripleseat (Chive’s CRM program: customer relations management tool)

Event Coordinator Responsibilities:

- Manage a portion of tentative and definite booked events

- Manage a portion of existing contracts and coordinate edits/additions to existing contracts

- Educate and guide definite clients through the Chive planning process and decisions

- Manage clients, vendors and Chive team members according to deadlines

- Manage as-needed, day-of event insurances, permits and licenses pertinent to each event

- Manage vendor payments

- Manage client billing

- Schedule/attend key meetings with clients

- Manage open communication with clients throughout planning process

- Lead weekly internal logistics meeting with other department managers

- Ensure client contracts are delivered as promised

- Act as onsite Event Leader as needed

POSITION QUALIFICATIONS + REQUIREMENTS

- Motivated to work in a environmental and community minded company

- Experience in the events, food and hospitality industries

- Sales experience helpful but not necessary

- Strong organizational, administrative, communication, customer service and interpersonal skills

- Highly detail oriented with exceptional follow through

- Strong interest and ability to work in a collaborative, team environment

- Self-motivated

- Friendly and professional demeanor, positive outlook, enthusiastic, high energy

- Flexibility to work evenings, weekends and holidays

- Comfortable with Apple products and G-Suite

OPERATIONS MANAGER

We are currently looking for an individual to assist in the general operations of our catering and events company.  As the Operations Manager you’d be working both independently and collaboratively with our team to ensure our collective success.  As the Operations Manager you are responsible for staffing events, managing event specific packing and general organization and up keep of our spaces and inventory.

KEY RESPONSIBILITIES

- Participate in event logistics meetings

- Create pack lists and manage packing for events

- Manage company vehicle maintenance

- Coordinate van rentals (event based)

- Coordinate the purchase and maintenance of all office supplies

- Purchase and keep inventory of compostables

- Manage general organization and cleanliness of designated spaces

- Responsible for hiring and training new event team members

- Manage event staffing

- General administrative support

- Hourly based on experience

- Flexible to work remotely at times

- Part Time; starting at 10 hours per week minimum
